Work Schedule: Monday - Friday, 1st shift, 35+ hours a week

Position Summary

The role of the Office Coordinator is to provide administrative support to ensure successful operations of the facility. This position will serve as a point of contact for clients, vendors, and other patrons of PSG, employing exceptional customer service and professionalism. In support of office staff, supervisors, and project managers in their assigned roles, this position will manage multiple tasks concurrently. Strong time management skills and resourcefulness will be crucial for success.

Essential Functions

  • Answer and direct incoming calls using a multi-line phone system
  • Greet and assist clients, vendors and other patrons; maintain visitor schedule and log
  • Monitor office supply inventory for facility
  • Assist in company quoting process
  • Assist with processing customer and vendor shipments via common carrier
  • Prepare customer invoices and monitor collections of accounts receivables
  • Assist with customer credit applications
  • Assist with Accounts Payable related tasks including inventory and bills

The Ideal Candidate

  • Proficient customer service skills
  • Proficient data management skills, including Microsoft office
  • Proficient knowledge of Sage50 or related accounting software
  • Basic knowledge of logistics management
  • Demonstrate effective written and verbal communication skills to tactfully collaborate with team members
  • Organize, prioritize and manage multiple medium to high complexity projects in a cross-functional environment
  • Demonstrate initiative and personal accountability to meet work demands; work effectively under pressure with limited supervision
  • Strong attention to detail and commitment to accuracy of work

Education and Experience

  • High School Diploma or equivalent required
  • 2+ years’ professional office experience required
  • 1+ years’ bookkeeping or related experience required
